Employee Monitoring Notice & Consent

Kollyns EOR Services (“Kollyns”, “we”, “the Company”) operates ProTracker, an employee productivity monitoring system, on behalf of your employer. Queries regarding this notice may be directed to ganga@prolognet.com.

4. Legal Basis for Processing
Processing is carried out on the basis of (a) the legitimate interests of the Company in monitoring the use of company-provided equipment and managing workforce productivity, and (b) the employment contract between you and the Company. Where local law requires explicit consent, your acceptance of this notice constitutes that consent. This notice is compliant with the EU General Data Protection Regulation (GDPR), the UK GDPR, the Personal Data Protection Act (PDPA), the Protection of Personal Information Act (POPIA), the California Consumer Privacy Act (CCPA), and applicable employment monitoring legislation in the jurisdictions in which Kollyns operates.
5. Purpose of Processing
Data is collected solely to: (a) measure and improve individual and team productivity; (b) assist managers in identifying workflow inefficiencies; (c) provide employees with visibility of their own working patterns; and (d) support fair and objective performance discussions. Data is not used for automated decision-making that produces legal effects without human review.

Activity records are retained for a period of 12 months from the date of recording, after which they are permanently deleted. Aggregated summary data may be retained for a further 24 months for business performance analysis.

All data is transmitted over encrypted HTTPS connections and stored in access-controlled cloud databases. The Company implements appropriate technical and organisational security measures in accordance with Article 32 of the GDPR.

Kollyns reserves the right to update this notice. Material changes will be communicated to employees and a new acknowledgement will be required before continued use of the system.
